Privacy Policy

This policy explains what personal information OziDesktop collects, why we collect it and how we look after it. It covers our website, enquiries and bookings, and the work we do for clients.

Who we are

OziDesktop Pty Ltd (OziDesktop, we, us) is an accounting and tax firm based in Camberwell, Melbourne.

What we collect

  • Contact details you give us, such as your name, business name, email address and phone number
  • What you tell us in an enquiry, such as the services you need, your business structure and your message
  • Booking details when you book a call through our online calendar
  • For clients, the information we need to do the work, such as financial records, tax file numbers, identity documents, bank account details and records from your accounting software
  • Information about other people that our clients give us so we can do the work, such as details of a client's staff for payroll, family members, partners, shareholders and trust beneficiaries for tax work, and, for trust account audits, the names and transaction details of the people named in the trust account records

If you give us information about someone else, please let them know and point them to this policy.

Sometimes the work needs sensitive information, such as health details that affect a tax claim. We collect it only when we need it, and with your consent where the law requires it.

Dealing with us without giving your name

You can ask us general questions without telling us who you are. To act for you as a client, we need your real name and details, because tax law and our professional rules require it.

How we collect it

Mostly from you: through the enquiry form on our website, when you book a call, by email or phone, and when you send us documents as a client.

Sometimes from others, with your permission or where the law allows it, such as your previous accountant when you move to us, or the ATO and other government bodies when we act for you.

Why we use it

  • To reply to your enquiry and arrange a meeting
  • To provide the accounting, tax and audit services you engage us for
  • To meet our legal and professional obligations, including as a registered tax agent
  • To manage our relationship with you, including our fees and records

We do not sell your personal information.

Updates and reminders

We sometimes send updates and tax reminders. You can unsubscribe at any time using the link in the email, or ask us to stop.

Who we share it with

We keep client information confidential. We share it only with your permission, to do the work you engage us for, or where the law requires or allows it. That can include:

  • The ATO, ASIC and other government bodies when we act for you
  • For a trust account audit, the regulator the audit report goes to in your state or territory
  • AUSTRAC, where anti-money laundering law requires it
  • The providers whose systems we use, such as our website, online booking calendar, accounting software and email
  • Anyone you ask us to deal with, such as your previous accountant, your lawyer or your bank

Storage outside Australia

Personal information may be stored or processed in other countries, including the United States, by the online services we use.

Tax file numbers

As a registered tax agent, we ask for tax file numbers (TFNs) only where tax or superannuation law allows it, for example to lodge your tax return or to run payroll for your staff.

You do not have to give us your TFN, and it is not an offence to refuse. There may be consequences, though: for example, we may not be able to lodge for you.

We use and disclose TFNs only for the purposes the law allows, such as dealing with the ATO, and we keep them secure. When the law no longer requires us to keep a TFN, we securely destroy it or remove it from our records. We handle TFNs in line with the Privacy (Tax File Number) Rule 2015.

Identity checks under anti-money laundering law

For some services, the law requires us to check and verify the identity of our clients, and sometimes of people connected to them, such as the people who own or control a company or trust, or who act for a client. We keep records of those checks. In some cases the law also requires us to report to AUSTRAC, the government agency that oversees Australia's anti-money laundering and counter-terrorism financing laws.

Keeping it safe

We use secure systems, limit access to the people who need it, and take reasonable steps to protect information from misuse, loss and unauthorised access.

We keep records for as long as the law requires, then destroy or de-identify them securely.

If there is a data breach

If we suspect a data breach, we act quickly to contain it and assess the risk. Where the law requires it, we tell the people affected and the Office of the Australian Information Commissioner (OAIC).

Cookies

Our website and our online booking calendar use cookies and similar technology that they need to work, for example to keep the site secure, prevent fraud and show available times. We also use analytics cookies to see how visitors use our website, such as which pages they visit. We do not use cookies for advertising. The booking calendar shows its own cookie choices, and any optional cookies you accept there are set by its provider, not by us. You can block cookies in your browser settings, but the booking calendar may not work.

Seeing or correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it if it is wrong, out of date or incomplete. Email, call or write to us. We will check who you are before we release anything. If we cannot give you access or make a correction, for example because the law does not allow it, we will tell you why in writing and how you can complain.
